SPECIALIST CONTRACT INTAKEQUALIFICATIONS:

  • EDUCATION REQUIREDHigh School Diploma or GEDAssociate's Degree preferredWORK EXPERIENCE REQUIREDMinimum of 1 year in public schools preferredOTHER SKILLS and ABILITIES REQUIRED

Work is performed in classrooms, offices, work stations and meeting rooms.The position requires occasional walking, standing, sitting, bending, stooping, kneeling, crouching, crawling, and lifting/carrying work related items weighing less than 40 pounds, such as books, papers and presentation materials. The employee is regularly required to use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear. Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus. Attendance at conferences and professional development is required. Work involves everyday risks and discomforts which require normal safety precautions when operating equipment or performing job duties. May work prolonged or irregular hours and must be able to maintain emotional control under stress.Most tasks are performed in a sedentary work environment. Attributes include those required in normal, everyday activities including sitting, walking, standing, bending and reaching. Ability to lift, push, and pull 25-30 lbs. intermittently in order to box files and to locate boxed documents. Ability to type/operate computer keyboard for extended periods of time. Work is performed in an office and is subject to frequent interruptions. Rescheduling and rearranging matters to meet unexpected changes is frequently required. Some assignments are subject to completion within strict time lines and involve the potential stress associated with time-sensitive completion of tasks.JOB PURPOSE SUMMARYThe Specialist Contract Intake, under general supervision, regularly serves as the first point of contact for all incoming contracts/agreements. The incumbent at this level exercises independence in completing work assignments.ESSENTIAL DUTIES & RESPONSIBILITIESMay be required to perform other related duties as assigned.To perform this job successfully, an individual must be able to perform each of the above essential duties satisfactorily.     • Coordination of Contract Review and Execution
    • Maintain high volume contact by telephone and email and in person with District personnel regarding contracts/materials management matters
    • Assist contract management staff in preparing reports for audits, inquiries, performance indicators, etc.
    • Coordinate the gathering of information, documents, reports, and physical evidence from various departments and campuses as necessary to respond to contract inquiries, disputes, protests, contract performance, etc.
    • Coordinate intake and initial review and analysis of District Contracts, MOUs and Interlocal Agreements
    • Provide assistance to Assistant Director of Contracts Management or Director of Materials Management, as assigned.
    • Perform other duties as assignedRecords
    • Assist materials management staff with it's Records Management program by facilitating management of the department's records for both destruction and retentionCustomer Service and Training
    • Explain the contract review process, contract requirements (e.g., supporting documentation), and provide general contract information to District staff
    • Provide excellent customer service promptly and professionally
    • Attend cross-functional meetings to support the overall materials management function
