Job Description Job Description About the Role: The Clinical
Administrative Assistant plays a vital role in ensuring the smooth
and efficient operation of clinical settings by providing
comprehensive administrative support. This position is responsible
for managing patient records, scheduling appointments, and
facilitating communication between healthcare providers and
patients. The role requires meticulous attention to detail to
maintain accurate documentation and compliance with healthcare
regulations. The Clinical Administrative Assistant acts as a
liaison to support clinical staff, enhancing patient experience
through effective coordination and timely information management.
Ultimately, this position contributes significantly to the overall
quality of care by enabling clinical teams to focus on patient
treatment and care delivery. Minimum Qualifications: Four (4) years
of clinical administrative experience in behavioral health or
substance use settings. High school diploma or equivalent required;
associate degree or higher in healthcare administration or related
field preferred. Proven experience in an administrative role within
a clinical or healthcare setting. Proficiency with electronic
health record (EHR) systems and standard office software (e.g.,
Microsoft Office Suite). Strong understanding of patient
confidentiality and HIPAA compliance requirements. Excellent
organizational, communication, and interpersonal skills. Preferred
Qualifications: Working knowledge of Texas Administrative Code
requirements applicable to behavioral health services. Ability to
handle multiple tasks efficiently in a fast-paced clinical
environment. Bilingual skills, particularly in Spanish, to support
diverse patient populations. Responsibilities: Coordinate
referrals, intakes, and counseling schedules for LMHPs in
collaboration with Camp Hope program staff. Maintain clinician
calendars, service availability, attendance tracking, and referral
status reporting. Support EHR workflows including chart
organization, documentation completeness checks, and audit
preparation. Assist with medical records requests, disclosures,
retention, and confidentiality safeguards. Support clinical
compliance activities including audits, policy implementation,
corrective action tracking, and survey administration. Maintain
training, licensure, and credential tracking spreadsheets for
clinical staff. Generate routine operational and compliance reports
for Clinical Leadership and Compliance. Skills: The Clinical
Administrative Assistant utilizes strong organizational skills
daily to manage complex scheduling and maintain accurate patient
records, ensuring clinical operations run smoothly. Effective
communication skills are essential for coordinating between
patients, healthcare providers, and insurance companies,
facilitating clear and timely information exchange. Proficiency
with EHR systems and office software enables efficient
documentation and data management, which supports compliance and
billing processes. Attention to detail is critical when handling
sensitive patient information and processing insurance claims to
avoid errors and maintain confidentiality. Additionally,
problem-solving skills help the assistant adapt to dynamic clinical
environments and address any administrative challenges
promptly.
